FINANCE OFFICER
Habitat for Humanity Indonesia is seeking the expertise, the Finance Officer who ensures
accurate, timely, and compliant financial processing and reporting for donor-funded projects and
national operations. He/she acts as the first-level financial control — reviewing the completeness
of all supporting documents and verifying available budget before any payment is processed
The position contributes to transparency, accountability, and donor confidence through strong
internal control, compliance, and coordination with both national and field teams.
Key Responsibility:
- Support project teams by providing financial data and budget information as needed for
project preparation and revisions. - Assist the Senior Finance Officer in checking that proposed budgets follow donor
requirements and HFHI cost recovery policy. - Use the Project Cost Control (PCC) as a reference tool to verify available budget lines
before payment documents are processed. - Maintain good filing and organization of budget-related documents.
- Check all payment documents (PR, PO, invoices, advances, reimbursements, etc.) to
ensure they are complete, properly signed, and within the available budget before
submitting for review and approval. - Assist the Senior Finance Officer in recording and coding transactions accurately in the
accounting system SUN System/ERP). - Prepare journal vouchers for payments, disbursements, and adjustments under
supervision. - Support the maintenance of the General Journal Log Sheet and ensure all transactions
are properly entered for review. - Help reconcile cash, advances, and other transactions with supporting documents.
- Maintain organized and audit-ready supporting documents for all transactions.
- Assist in preparing monthly financial summaries and schedules for donor or management
reports. - Support the maintenance and reconciliation of the Fixed Asset Register to ensure all new
purchases, disposals, or transfers are properly recorded, documented, and tagged in
coordination with the Admin and Procurement teams. - Follow HFHI’s financial, procurement, and internal control procedures always.
- Ensure that all supporting documents are properly authorized and complete before
payment processing. - Support the Senior Finance Officer in implementing internal control checks, such as petty
cash counts or reconciliation of advances. - Report any missing documents, irregularities, or compliance concerns immediately to the
Senior Finance Officer. - Assist in audit preparation by organizing and providing required documents.
- Assist in periodic asset verification or inventory checks and ensure that any discrepancy
is reported to the Senior Finance Officer and GA Unit for follow-up. - Assist in preparing monthly and quarterly cash forecasts and fund transfer requests.
- Support the monitoring of employee advances and help ensure timely liquidation.
- Participate in periodic petty cash counts and reconciliation with Finance Custodian.
- Help maintain cash and bank transaction records for review by the Senior Finance Officer.
- Coordinate with Project Finance Officers and Program staff to ensure consistency of
documentation and budget usage. - Communicate clearly and politely when following up on missing or incomplete documents.
- Support quarterly financial review meetings and discussions led by the Senior Finance
Officer. - Participate in learning and capacity-building sessions to strengthen knowledge of donor
finance and HFHI policies.
Job Requirements:
- Bachelor’s degree in accounting, finance, or related field.
- Minimum 3 years of work experience in finance/accounting (NGO experience preferred).
- Familiar with accounting systems especially SUN Systems
- Strong Excel skills and attention to detail.
- Good communication skills in Bahasa Indonesia and English.
- Upholds accountability, integrity, and confidentiality.
- Domicile in Jakarta.
